POSITION:
The Temporary Athletic Coordinator (4th-12th) supports the High School and Middle School Athletic Directors in the operation of the 4-12th athletic program. This is a temporary, part-time position for the Spring season (March 16 – end of school year). This position will work with Middle School and High School Athletic Directors and school administration to implement the athletic policies and programs of the school. They will help the Athletic Directors coordinate all sporting events and ensure they are conducted with concern for the safety of student-athletes and spectators.
This role is primarily operational and supervisory in nature. Strategic program decisions, coach evaluation, disciplinary determinations, and budget oversight remain the responsibility of the Athletic Directors.
In addition, the Athletic Coordinator supports enforcement of all California Interscholastic Federation, North Coast Section, Bay Area Conference, Bay Area Interscholastic Athletic League policies relating to conduct of athletics and participation in athletics.
Position Type: Temporary, Part-Time
Estimated Schedule: Approximately 25–35 hours per week, primarily weekdays 12:30 PM – 6:00 PM, with occasional extended event days and limited weekend commitments as needed.
Reports To: Interim High School Athletic Director
FOCUS AND RESPONSIBILITIES
GENERAL COMMUNICATION:
- Compose, edit, proof, and plan for the distribution of Athletic communications via the Athletics website, social media accounts, sports publications, and informational emails to students, coaches, parents, faculty, administration, security, and outside school personnel, liaising closely with the school’s Director of Communications as needed in the process
- Maintain positive relationships with students, colleagues, and league correspondents
- Strong writing and verbal communication skills and knowledge of basic word-processing applications and google docs are required
GYM & HOME GAME/ EVENT MANAGEMENT
- Attend the majority of home contests for 4-12th grade teams across all seasons. This will entail weeknight and weekend commitments.
- Supervise the preparation of facilities for all home contests. Coordinate with coaches to ensure a smooth set up, greeting of away schools, and other relevant details.
- Manage and oversee the gym staff for all events (scorekeepers, gym managers, student volunteers)
- Plan and organize the Game Operations Staff for events, including organizing and supervising the gates, crowd control.
- Help plan & execute special events: Sports Awards Nights, Spirit Games, Playoff Games, etc.
- Provide consistent adult supervision in shared athletic spaces during high-traffic dismissal and practice overlap periods.
COORDINATION OF LOGISTICS
- Maintain a professional working relationship with our vendors to ensure our transportation needs are met daily. Assist with logistics for transportation to all away contests and off-campus practices for teams 4-12 under the direction of the Athletic Directors.
- Organize, coordinate, maintain and communicate LS, MS & HS Athletic schedules, including transportation details.
- Oversee and manage the shared gym calendar updated throughout the year: home games, school events, community events, etc.
- Confirm all contests with coaches, opponents, officials, early dismissal times, and facility locations.
ROSTER UPDATES & ELIGIBILITY
- Assist with the eligibility of all student-athletes including physical examinations and transfer student's required paperwork.
- Oversee and maintain student-athlete records, such as participation requirements, physicals, FamilyID, uniform deposits.
- Keep accurate rosters and share them with necessary constituents.
- Update and analyze yearly team and student-athlete data.
UNIFORMS, TEAM GEAR, & EQUIPMENT
- Control the inventory and management of athletic uniforms including cleaning, repairing, distributing, and collecting all uniforms at the end of the season.
- Facilitate online and in-person orders of team gear, while keeping storage spaces organized
- Manage, maintain and organize sports equipment for all teams before, during and after the seasons
CONSTRUCTION & INVENTORY SUPPORT
- Assist with full equipment and uniform inventory in preparation for campus construction and facilities transition.
- Support packing, labeling, and organizing athletic storage areas to ensure accurate tracking and accountability.
OTHER DUTIES & RESPONSIBILITIES
- Organize and support coaching staff as needed throughout the season(s).
- Other duties and projects as assigned by the High School and Middle School Athletic Directors.
QUALIFICATIONS
- Bachelor’s Degree preferred
- Experience working with adolescent student-athletes or youth programs preferred
- Experience supervising students independently in structured settings preferred
- Ability to work nights and weekends
- Must be willing and able to drive school vans (valid driver’s license and clean driving record required)
- Strong Interest in coaching and career development in Athletic Leadership
- Ability to work in a fast-paced, flexible, team environment

- Exceptional verbal and written communication skills
- Excellent attention to detail
- Strong organizational and problem-solving skills

Hourly pay range for this position $28.85 - $33.65 per hour depending on experience and qualifications.
